Conference Calling — Connect Your Whole Team on One Call

Host multi-party conference calls with a dedicated bridge number and PIN access. Internal staff, external clients, vendors — anyone with a phone can join. No third-party conferencing service needed and no per-minute fees. Included with every VoipPlus account.

  • Dedicated conference bridge number
  • PIN access for security
  • Moderator controls (mute, kick, lock)
  • Internal and external callers can join
How It Works

Simple to Set Up, Easy to Use

1

Get a Bridge Number

We assign a dedicated conference bridge extension or DID number to your account. You can have multiple bridges if different departments need their own.

2

Share the PIN

Each bridge has a PIN code. Share it with the people who need to join. Internal extensions dial the bridge directly; outside callers dial the DID number and enter the PIN.

3

Everyone Joins

Participants call in and enter the PIN. The system announces each person as they join (or you can turn that off). Everyone hears everyone — thats it.

Conference Bridge Features

What You Can Do During a Conference

Feature How It Works
PIN Access Each bridge requires a numeric PIN to join. Keeps random callers out of your meeting.
Moderator PIN Separate PIN for the meeting host. Moderators get extra controls like mute-all and lock.
Mute Participants Moderator can mute individual callers or mute everyone at once. Handy when someone has background noise.
Lock the Bridge Once everyone is on, lock the bridge so no new callers can join. Prevents late dialers from interrupting.
Kick a Participant Remove a specific caller from the conference without ending it for everyone else.
Join/Leave Announcements System announces when someone enters or leaves. Can be turned off if you prefer quiet join.
Record the Conference Record the entire call for later review. Works with call recording — recording is saved to the PBX.
Music on Hold First caller into the bridge hears hold music until someone else joins. Optionally wait for the moderator before the meeting starts.
Quick Calls vs. Scheduled Meetings

Three-Way Calling vs. Conference Bridge

Both connect multiple people. The difference is how you start and how many can join.

Three-Way Calling Conference Bridge
Participants 3 people Dozens of people (depends on system capacity)
How to start You're on a call, press a button, dial a third person, merge Everyone dials a bridge number and enters a PIN
Best for Quick ad-hoc calls — "let me add my manager to this call" Scheduled meetings, recurring team calls, client presentations
External callers You add them manually They dial in on their own
Moderator controls No Yes — mute, kick, lock, record
Extra charge No No

Both features included with every VoipPlus account. Use whichever fits the moment.

Who Uses Conference Calling

Common Conference Calling Scenarios

Law Firms

Conference with opposing counsel, mediators, and clients without everyone needing to be in the same room. Record the call for your files if needed.

Multi-Location Offices

Weekly team meetings across your Chicago, Schaumburg, and Naperville offices. Everyone dials the same bridge number from wherever they are. No travel required.

Remote Teams

Employees working from home join the same conference bridge as people in the office. No special software — just dial the number from any phone.

Insurance Agencies

Three-way between the agent, the underwriter, and the client to walk through policy details or claims issues. Everyone hears the same thing at the same time.

Trucking & Logistics

Dispatcher, driver, and customer on one call to coordinate delivery details. Saves the back-and-forth of relaying messsages between parties.

Training Sessions

Mute all participants, deliver the training, unmute for Q&A. Record the session so people who couldn't attend can listen later.

Common Questions

Conference Calling FAQ

How many people can join a conference call?

It depends on your system's channel capacity. Each participant uses one channel for the duration of the call. A typical small business with 5–10 channels can comfortably host a 5–10 person conference. If you need larger calls, we can plan capacity around that.

Can outside callers join the conference?

Yes. Give them the bridge's DID number (a regular phone number) and the PIN. They dial in from any phone — landline, cell, doesn't matter. No app download or account required.

Can I have more than one conference bridge?

Yes. You can have separate bridges for different departments or purposes. Sales has theirs, operations has theirs. Each bridge gets its own number and PIN.

Can I record conference calls?

Yes. If call recording is enabled, the conference is recorded and saved to the PBX just like any other call. Remember Illinois two-party consent — announce that the call is being recorded.

Is there a per-minute charge for conference calls?

No. Conference calling is included at no additonal charge. You're using your existing channels, so there's no extra fee per minute or per participant. Just make sure you have enough channels for the number of people joining.

Do I need special equipment?

No. Any phone on your system can dial into the conference bridge. For better audio in a room full of people, a speakerphone or conference phone helps, but it's not required.
